About the role:
As an Administrative Assistant at TQL, you will directly support a senior leader, ensuring their day-to-day operations run efficiently and effectively. This role requires a highly organized, proactive professional who can anticipate needs, manage competing priorities and operate with a high level of discretion. You’ll play a key role in keeping business initiatives moving forward by managing schedules, coordinating communication and supporting both administrative and operational needs in a fast-paced environment.

What you’ll do:
- Manage a complex, fast-moving calendar, including scheduling meetings, appointments and travel
- Coordinate internal and external meetings, ensuring all logistics and materials are prepared in advance
- Prepare, edit and format correspondence, presentations and reports with a high level of accuracy
- Track priorities, deadlines and follow-ups to ensure key deliverables are executed on time
- Support ongoing projects and initiatives by coordinating with cross-functional teams
- Maintain organized systems for files, documents and communications
- Handle sensitive and confidential information with professionalism and discretion
- Provide occasional logistical support related to scheduling and coordination outside of standard business activities
Who we’re looking for:
- 1+ year of administrative, office support or related experience
- Strong proficiency in Microsoft Office (Outlook, Excel, Word, Teams, PowerPoint)
- Highly organized with the ability to manage multiple priorities in a fast-paced environment
- Strong communication skills and a proactive, solutions-oriented mindset
- Ability to anticipate needs and adapt quickly to changing priorities
- High attention to detail with strong proofreading capabilities
- Demonstrated professionalism, discretion and sound judgment
