About the role:
As an Administrative Assistant at TQL, you will directly support a senior leader, ensuring their day-to-day operations run efficiently and effectively. This role requires a highly organized, proactive professional who can anticipate needs, manage competing priorities, and operate with a high level of discretion. You’ll play a key role in keeping business initiatives moving forward by managing schedules, coordinating communication, supporting administrative and operational needs in a fast-paced environment.

What you’ll do:
- Manage a complex, fast-moving calendar, including scheduling meetings, while helping prioritize requests and protect leader focus time
- Coordinate meetings, ensuring all logistics, agendas are prepared in advance
- Prepare, edit and format correspondence, presentations, with a high level of accuracy and professionalism
- Track priorities, deadlines, follow-ups, and next steps to ensure key deliverables are executed on time
- Support ongoing projects and initiatives by coordinating with cross-functional teams and helping connect the right stakeholders, resources and information
- Provide flexible support across multiple leaders or departments during peak periods, coverage gaps or shifting business priorities.
- Maintain organized systems for files, documents and communications
- Handle sensitive and confidential information with professionalism, discretion and sound judgment
- Provide occasional logistical support related to scheduling and coordination outside of standard business activities
Who we’re looking for:
- 1+ year of administrative, office support or supporting multiple stakeholders
- Strong proficiency in Microsoft Office (Outlook, Excel, Word, Teams, PowerPoint)
- Highly organized with the ability to manage multiple priorities in a fast-paced environment
- Strong communication skills and a proactive, solutions-oriented mindset
- Ability to anticipate needs, adapt quickly to changing priorities and make sound decisions with limited direction
- High attention to detail with strong proofreading capabilities
- Demonstrated professionalism, discretion and sound judgment
- Ability to build trust with leaders and teams quickly
