New Hire Relocation Travel & Expense Policy

The purpose of this document ensures that employee travel is consistent with the business objectives of Total Quality Logistics. It also ensures fair and equitable treatment of employees by defining procedures for authorized relocation travel guidelines. Relocation to new residence from former residence must be greater than 75 miles. You must be employed at the time of payout for any bonuses or reimbursements. Any expense submitted which does not comply with the guidelines of this document may not be reimbursed. All expenses must have a proper receipt, submitted within 30 days of your start date and abide by the following conditions below:

Reimbursable Expenses
  • The loading & transportation of household goods & personal effects
  • Storage expenses (up to 30 days)
  • Mileage ($0.23/mile) OR fuel expenses
  • Hotel expenses (up to 5 nights total)
  • Airfare expenses
  • Meal expenses while traveling
  • Parking
  • Tolls
  • Packing materials
  • Postage
  • Rental vehicles
  • Car transport services

  • Non-Reimbursable Expenses
  • Airline upgrades, seat fees or excessive baggage charges
  • In-flight internet charges
  • Any sort of membership fees or dues
  • Mini-bar items
  • Personal entertainment including, but not limited to movies, tours, sporting events/activities
  • Costs incurred due to unreasonable failures to cancel transportation or hotel reservations
  • Rental car upgrades, insurance or prepaid fuel option
  • Fines for parking or moving violations
  • Repairs or maintenance to personal vehicles
  • Loss of rental keys or damages to rental vehicle
  • Packing services
  • Housing deposits, rent, termination fees or application fees
  • Tobacco Products
  • Gratuities in excess of 20%
  • Unnecessarily excessive costs (e.g. very expensive restaurants or hotels)
  • Organizational items (e.g. plastic drawers/bins, closet organizers, storage shelves, hangers, etc.)
  • Repair items (e.g. nails, screws, hammers, screw drivers, plywood, paint, etc.)
  • Cleaning fees
  • ATM withdraws or fees
  • Personal expenses (air mattresses, cleaning supplies, toiletries, medication, clothing, furniture, groceries, etc.)
